About the "Title status & usage" report
Note: To compile data for state reports, use the Insights tab, Checkouts report, and Purchased titles summary report. The Title status & usage report is best for understanding the current status of titles in your collection rather than gathering historical data.
With this report, you can view real-time data about titles in your collection, including:
- The number of copies owned
- How many Metered Access licenses are used and remaining
- The total and current checkouts for a title
- The total and current holds for a title
- Title status ("In collection" or "Weeded")
Important: Only titles that were originally purchased during the time period you specify will be included in the report. The data for those titles (number of copies, checkouts and holds, weeded status, price, and expiration information) includes all activity from the date of purchase up to the date you run the report.
Example uses of this report
- To see all titles that are currently checked out, run the report with Specific in the "Date" field and leave the "Start date" and "End date" fields blank. Then, sort the Active checkouts column in descending order.
- To see the most popular titles in your collection, run the report with 50 (or the number you choose) in the "Minimum checkouts" field. To see the least popular titles in your collection, run the report with 0 (or the number you choose) in the "Maximum checkouts" field.
- To see the remaining licenses and/or time for Metered Access (MA) titles, run the report and select all MA models in the "Lending model" field. Sort the Licenses left column to see data on "MA: by checkout" titles, or sort the Last copy expires column to see data on "MA: by time" titles.
- To see all preorder titles, run the report with Specific in the "Date" field, leave the "Start date" and "End date" fields blank, and select Include for "Preorder Titles." Then, sort the Street date column in descending order to see all preorder titles not yet released (in the pink rows).
Report summary
In the report summary table at the top of the page:
- Titles that you own in more than one lending model are counted under each applicable lending model.
- If a title is owned in multiple lending models and is expired in one lending model (but not all), the title is included in all title rows for lending models owned (including the expired lending model).
- For Metered Access (MA) titles:
- The "MA - licenses left" and "MA - licenses used" rows include titles in the "MA: by checkout" and "MA: by earlier of checkouts or time" models.
- Expired MA titles only appear in the "MA: by time - 0 time remaining" and/or "MA: by checkout - 0 checkouts remaining" rows. Expired titles in the "MA: by earlier of checkouts or time" model are counted in both rows (0 time remaining and 0 checkouts remaining).
Report grid
In the report grid at the bottom of the page:
- You can customize the report grid to find the information you need:
- To add or remove columns, click the arrow next to a column header, go to Columns, and select or deselect the columns as desired.
- To sort a column, click the arrow next to a column header, then select Sort Ascending or Sort Descending.
- "Latest Checkout" is updated nightly.
- For "MA: by checkout (concurrent users)" titles, the "Owned" column shows the number of checkouts remaining.
Running the report from the inception of your collection
To run this report from the inception date of your digital collection: Open the report. In the "Report options" window, make sure the "Period type," "Date," or "Date range" is Specific, leave the start date and end date fields blank, and click Update. For large reports, select Create worksheet to export a CSV file of your results.
